Creating and Managing Listing Templates
Every eBay listing you create through Ecommerce is built on top of a listing template. Think of a template as a reusable configuration file that controls the rules for how your listings behave — category placement, shipping method, return policy, payment options, warranty info, and more. Instead of configuring these settings one listing at a time, you set them once in a template and then assign that template to as many listings as you need.
Because templates are the foundation, every listing must be assigned to a template before it can go live on eBay. Getting your templates right up front saves significant time down the road.
Creating a New Template
Navigate to eBay > Listing Templates in Ecommerce and click Create New Template to get started.
Template Name
Give your template a clear, descriptive name that tells you at a glance what it covers. Good examples:
- "Helmets - Flat Ship $12.99"
- "Hard Parts - Calculated Shipping"
- "Apparel - Free Shipping Over $50"
Important: Template names cannot be renamed after creation. If you need to change a name, clone the template, give the clone the new name, reassign your listings to it, and then delete the original.
Primary Category
Every listing needs an eBay category. In the template editor, you will navigate the eBay Motors category tree to select the correct category for the products you plan to assign to this template. Take your time here — choosing the right category ensures your listings appear in the correct search results and that eBay surfaces the right item specifics fields.
Secondary Category (Optional)
You can assign a secondary eBay category to increase your listing's visibility across multiple browse paths. Keep in mind that eBay may charge additional insertion fees for listings with a secondary category, so weigh the potential visibility benefit against the cost.
Store Category
This controls where the listing appears within your eBay Store's custom category structure. If you have organized your Store into sections (e.g., "Helmets," "Exhaust Systems," "Tires & Wheels"), select the appropriate Store category here so buyers browsing your Store can find items easily.
Description Editor
Each template includes a description editor where you define what buyers see in the listing description area.
Data Tags for Dynamic Content
Ecommerce supports data tags — placeholders that auto-populate with product-specific information when a listing is created. Tags can pull in the product name, manufacturer, specifications, and other catalog data so you do not have to write a unique description for every product.
Custom HTML Support
If your dealership uses a branded eBay listing design from a provider like Frooition or OC Designs, you can paste your custom HTML directly into the description editor. Ecommerce will merge your HTML template with the dynamic data tags to produce a polished, branded listing.
Shipping Configuration
Shipping settings are one of the most important parts of your template. Ecommerce gives you several options to match your fulfillment workflow.
Calculated Shipping
eBay calculates the shipping cost at checkout based on the buyer's location and the package weight and dimensions you provide. This is a good choice for heavy or oversized items where shipping costs vary significantly by destination.
Flat Rate Shipping
Set a fixed shipping price that applies regardless of the buyer's location. This keeps things simple and predictable for both you and the buyer.
Domestic Rate Tables
Rate tables let you customize flat shipping rates by region — for example, a base rate for the lower 48 states, a different rate for Alaska and Hawaii, and separate rates for U.S. protectorates and APO/FPO addresses. Rate tables must be configured in your eBay Shipping Preferences first, and then you select the appropriate rate table within your Ecommerce template.
International Shipping
You can offer international shipping as either flat rate or calculated, with up to two international shipping options per template.
eBay International Shipping Program
Formerly known as the Global Shipping Program, this option lets eBay handle the international logistics, customs, and duties on your behalf. You ship the item to a domestic hub, and eBay takes it from there. This is the simplest way to offer international shipping without managing cross-border complexity yourself.
Price Banded Shipping
Price Banded Shipping allows you to set different shipping prices based on the item's sale price. For example, you could offer free shipping on orders over $50 and charge $5.99 for orders under $50. This is useful for encouraging higher-value purchases while still covering shipping costs on smaller orders.
Domestic Surcharges
If specific carriers charge surcharges for certain delivery scenarios, you can configure domestic surcharges within the template to account for those additional costs.
Note: Dealers can configure up to 3 domestic shipping options and up to 2 international shipping options per template.
Payment Settings
Auto Pay
When enabled, Auto Pay requires the buyer to pay immediately at checkout. This is the recommended setting — it reduces unpaid item cases and keeps your order pipeline moving.
Best Offer
Enable Best Offer to allow buyers to submit price offers on your listings. You can review and accept or decline offers as they come in.
A Note on Managed Payments
eBay uses Managed Payments for all transactions, so there is no PayPal configuration needed in your template. Payments are processed through eBay and deposited to your linked bank account on eBay's standard payout schedule.
Return and Refund Policy
Your template's return policy tells buyers what to expect if they need to send something back.
- Returns accepted or not — Choose whether you accept returns on listings using this template.
- Return window — If returns are accepted, select a window of 30, 60, or 90 days.
- Refund type and restocking fee — Specify whether you offer a full refund, exchange, or merchandise credit, and whether a restocking fee applies.
- Return shipping — Indicate whether the buyer or seller pays for return shipping.
Setting a clear, reasonable return policy builds buyer confidence and can positively impact your search ranking.
Warranty Item Specifics
Ecommerce lets you set a warranty value on each template. The available options are:
- No Warranty
- Unspecified Length
- 90 Day
- 6 Month
- 1 Year
- 2 Year
- 3 Year
- 5 Year
- 10 Year
- Lifetime
- Other
This value populates the warranty item specific on your eBay listings and helps set buyer expectations.
Note: Warranty values affect eBay search filtering — buyers can filter search results by warranty, so selecting the correct value improves discoverability.
Discount Pricing Display
Control how pricing appears to buyers with these display options:
- None — Standard price display with no discount indication.
- During Checkout — The discount is revealed at checkout.
- Pre-Checkout (Strike-Through Pricing) — Displays the MSRP with a strike-through next to your lower selling price. This visual cue highlights the savings and can improve click-through rates.
Custom Item Specifics
eBay has been steadily increasing the number of mandatory item specifics required for listings across most categories. If required specifics are missing, your listings may receive reduced visibility or fail to go live altogether.
Make sure your templates include all required item specifics for the categories you are listing in. Ecommerce will surface warnings when required specifics are missing, but it is good practice to review eBay's item specifics requirements for your primary categories periodically.
Working with Templates at Scale
Bulk Edit
Need to update a shipping method or return policy across dozens of listings? Use the bulk edit feature to apply template changes to multiple listings at once. This is especially useful when eBay updates its policies or when you adjust your shipping strategy.
Clone
If you need a new template that is similar to an existing one, use the Clone function to duplicate it. The clone creates an exact copy that you can rename and modify without affecting the original. This is also the recommended workflow when you need to "rename" a template — clone it with the new name, reassign your listings, and delete the old one.
Tips for Template Organization
- Create templates by product type and shipping method. A template called "Helmets - Flat $9.99" is far easier to manage than one called "Template 3."
- Keep the number of templates manageable. Too many templates with subtle differences makes maintenance harder. Find the right balance for your catalog.
- Review templates after eBay policy updates. eBay periodically changes category structures, item specifics requirements, and shipping options. A quick template review after major updates prevents listing issues.
Templates are the backbone of your eBay integration in Ecommerce. Investing time in setting them up correctly pays dividends in fewer listing errors, better search visibility, and a smoother selling experience.
