Account Settings & Selecting Your Distributors

Your distributor selections decide what shows up in your PSS catalog: which products you can list, where they are sourced from, and what pricing is available.

What you'll learn

  • How PSS combines data from multiple distributors
  • How to add new distributors
  • The one step new accounts miss that keeps inventory from showing

How PSS uses your distributors

PSS is built around the Manufacturer Part Number (MPN). Every product in your catalog is one MPN, and every distributor that carries it feeds price and stock into that same MPN. You get one listing per product, with inventory from all your distributors combined behind it.

Term What it means Example
MPN The product itself. One MPN per unique part. 2103-0174
Distributor SKU A distributor's version of that part, used only for price and inventory. PSS adds a two-letter prefix for the distributor. PU2103-0174, WP2103-0174
Product Group Related products that are variations of the same item, like every size and color of a jacket. "Adventure Touring Jacket"

Examples of distributor prefixes include PU (Parts Unlimited), WP (Western Powersports), AU (Automatic Distributors), CA (Can-Am), and KA (Kawasaki). You'll see these on override files, inventory feeds, and SKU lookups.

💡 Pro Tip: You only need to list a product once. If three distributors carry it, PSS pulls all three into the same listing automatically.

Connect your distributor accounts

Each distributor you buy from needs your Dealer ID: the account number that distributor has on file for your dealership.

  1. Go to Settings > Account Settings.
  2. Find the distributor you want to connect.
  3. Enter your Dealer ID for that distributor.
  4. Click Save.
  5. Repeat for every distributor you purchase from.

📌 Key Point: Your Dealer ID comes from the distributor, not from PSS. If you don't know it, check an invoice or call your distributor rep.

Turn on your warehouses

Most distributors ship from several warehouses. Connecting the account isn't enough on its own: each warehouse also needs to be switched on and given a lead time in Inventory Rules.

Before you start listing

🛑 Critical: If you already have eBay listings that weren't created in PSS, and you use a Custom Label SKU, PSS could end them to prevent conflicts with its SKU format. Talk to your Account Manager before you connect your marketplace account so you can plan the transition.
