Stock Settings
What Is the In-Stock Only Setting?
The In-Stock Only setting controls whether your webstore displays all products or only products that are currently in stock. When enabled, out-of-stock products are automatically hidden from category pages, search results, and product detail pages.
This setting is found under Settings > Webstore > Category & Search Results Pages > In-Stock Only.
The Three Options
| Option | What It Does |
|---|---|
| Disabled | Shows all products regardless of inventory levels. This is the default. |
| Shelf & Distributor Quantities | Shows only products that have stock from either your shelf inventory or your distributor feeds. This is the broadest in-stock filter. |
| Shelf Quantities Only | Shows only products where you have personally applied shelf quantities. Products that are only available through distributor stock are hidden. This is the most restrictive filter. |
Understanding Shelf vs. Distributor Quantities
There are two sources of inventory data in the system:
Shelf Quantities
Shelf quantities represent inventory that you have manually entered into the system through the Inventory Management tools. This is typically physical inventory you have on hand at your location.
- Source: Manually entered by you or your staff
- Applies to: Aftermarket products, Private Label products
- Stored in: Dealer Inventory records
Distributor Quantities
Distributor quantities represent real-time inventory levels reported by your authorized distributors through automated data feeds.
- Source: Automated feeds from distributors (e.g., Parts Unlimited, WPS, Tucker)
- Applies to: Aftermarket products only
- Updated automatically: The system uses distributor stock data that has been updated within the last 3 days
- Not available for: Private Label or OEM products (these only have shelf quantities)
How Each Option Works
Disabled
All products are displayed on your webstore regardless of whether they have any inventory. Customers can browse and view every product assigned to your webstore categories.
Use this when: You want to show your full product catalog and handle inventory availability at the cart or checkout level rather than hiding products.
Shelf & Distributor Quantities
A product is shown on the webstore if it has stock from either source:
- The product has shelf quantities greater than zero (you entered inventory for it), OR
- The product has distributor stock greater than zero (a distributor feed shows it as available within the last 3 days)
A product is hidden if it has no stock from either source.
Use this when: You want to show customers everything that is available — whether you have it on your shelf or it can be ordered from a distributor.
Shelf Quantities Only
A product is shown on the webstore only if you have personally applied shelf quantities greater than zero. Products that are only available through distributor stock are hidden.
Use this when: You only want to display products you physically have in inventory and do not want to show items that would need to be ordered from a distributor.
How to Change the Setting
- From the main menu, go to Settings
- Click Webstore
- Find the Category & Search Results Pages section
- Locate the In-Stock Only dropdown
- Select your preferred option:
- Disabled
- Shelf & Distributor Quantities
- Shelf Quantities Only
- Click Save
Variation-Level Filtering
When In-Stock Only is enabled, the system filters at the individual variation level, not just the product level. This means:
- If a product has multiple variations (e.g., sizes or colors), only the variations that are in stock will be displayed to shoppers
- Out-of-stock variations are removed from the product detail page
- If all variations of a product are out of stock, the entire product is hidden
Example: A helmet comes in Small, Medium, and Large. You have shelf quantities for Medium and Large but not Small. With In-Stock Only enabled, customers will only see Medium and Large as available options.
How Often Does Stock Data Update?
- After you update shelf quantities, it may take up to one hour for the change to appear on the webstore
- After a distributor feed updates stock levels, the same delay applies
- Product detail pages perform a real-time stock check for variations, so variation filtering is immediate
Interaction with Allow Backorders
The Allow Backorders setting overrides In-Stock Only behavior. When Allow Backorders is enabled:
- All inventory rules are bypassed
- All products are shown as in-stock with a positive quantity
- The In-Stock Only setting has no effect
If you have both settings configured, Allow Backorders takes priority.
How Private Label Products Are Handled
Private Label products only use shelf quantities to determine stock, regardless of which In-Stock Only mode you select. This is because Private Label products do not have distributor feeds.
- Shelf & Distributor Quantities: Private Label products appear only if they have shelf quantities > 0
- Shelf Quantities Only: Same behavior — Private Label products appear only if they have shelf quantities > 0
