Lightspeed
If your dealership runs Lightspeed, PSS can pull your parts inventory from it automatically. That shelf stock sits at the top of the fulfillment order with a 1-day lead time, so the parts you already have get sold first and ship fastest.

What you'll learn
- What the two Lightspeed modules do
- How to connect 3PA and the Web Orders Module
- How to map your supplier codes
- Which sync settings to choose
The two modules
The Lightspeed integration has two parts. You can turn on either one, both, or neither.
| Module | What it does | Direction | How often |
|---|---|---|---|
| 3PA / Data Warehouse | Pulls your shelf quantities from Lightspeed into PSS | Lightspeed → PSS | Daily |
| Web Orders Module | Sends your webstore, eBay and Amazon orders to Lightspeed for fulfillment | PSS → Lightspeed | On demand |
Both matter for marketplace sellers. 3PA keeps the shelf stock behind your eBay and Amazon listings current, and the Web Orders Module brings those eBay and Amazon orders into Lightspeed so your team can fulfill them from the DMS.
What you need before you start
- Your 3PA username, password and Dealer ID from Lightspeed
- A list of your Lightspeed supplier codes (for example, "PU" for Parts Unlimited or "KA" for Kawasaki)
- Which PSS catalog (Aftermarket, OEM or Private) and distributor or manufacturer each code belongs to
- Your Web Commerce username and password, if you're setting up the Web Orders Module
Connect 3PA
- Open the Lightspeed Configuration page and find the 3PA/Data Warehouse section.
- Check Enable Lightspeed 3PA/Data Warehouse.
- Enter your 3PA username, password and Dealer ID.
- Click Save. PSS checks the connection and shows an error if the credentials don't work.

Connect the Web Orders Module
- On the Lightspeed Configuration page, find the Web Orders Module section.
- Enable the module and enter your Lightspeed Web Commerce username and password.
- Click Save. From then on, Lightspeed checks PSS for new orders and downloads them for your team to fulfill.

Map your supplier codes
Supplier codes are how PSS matches a Lightspeed part to a product in your catalog. Any part whose supplier code isn't mapped is skipped during sync.
- On the Lightspeed Configuration page, scroll to 3PA Parts & Accessories Availability/Pricing Settings.
- Click Manage Supplier Codes, then Add Supplier Code.
- Fill in the fields below, then repeat for every supplier code you want to sync.
- Click Save.
| Field | What to enter |
|---|---|
| Catalog | Aftermarket, OEM or Private |
| Lightspeed Supplier Code | The code exactly as it appears in Lightspeed |
| Manufacturer/Distributor | The matching distributor or manufacturer in PSS |
| Lead Time Value | Days to fulfill parts with this code (defaults to 1) |
| Lightspeed Pricing | Disabled (quantities only), Retail, or Current Active price as the sale price |
💡 Pro Tip: You can map the same supplier code to more than one catalog if it covers both aftermarket and OEM parts.
Choose your sync settings
| Setting | Options | Our recommendation |
|---|---|---|
| Quantity Column | On Hand (total count) or Available (excludes units reserved for work orders and layaways) | Whichever matches how your dealership tracks stock |
| Clear Previous Quantities | On: every sync starts fresh. Off: parts Lightspeed stops reporting keep their old quantity. | On, for the most accurate stock |
| Disabled Days | Days of the week to skip syncing | If you are closed Sundays, disable Mondays so that the system can rely on inventory decrement feature for that day. |
How the sync works
PSS syncs automatically every 6 hours. It only pulls parts with a quantity above zero that were updated in Lightspeed within the last year. Synced stock is treated exactly like shelf inventory, at the top of the fulfillment order.
To sync right away, click Queue Inventory Update in the 3PA Parts & Accessories section. The button appears once at least one supplier code is mapped.
⚠️ Warning: Because the sync runs daily, fast-moving parts sold in-store between syncs can still show as available online. Adjust those manually if you sell a lot over the counter.
